The small rule that keeps a WhatsApp inbox usable

An inbox does not need more labels. It needs one unambiguous answer to: what happens next, and who will do it?

WhatsApp works because it is immediate. It becomes hard to operate for the same reason. A busy inbox mixes new enquiries, half-finished conversations, screenshots, voice notes, follow-ups, and messages that only one person understands.

Keep the status language plain

Use statuses that describe work, not feelings. Waiting on customer. Waiting on team. Ready to send. Needs a call. Closed. Every open conversation must have a next action and an owner.

Scroll your own WhatsApp inbox right now and count how many threads fail that test.
